Anuvia ("we", "our", "us") operates from 24 Jalan Sultan Idris Shah, 30000 Ipoh, Perak, Malaysia. We provide administrative records support services for retirement-related paperwork. This policy explains what personal data we collect, how we use it, and what rights you hold in relation to it.

This policy applies to personal data collected through our website at anuviam.sbs, through our contact form, and in connection with the delivery of our three services: Single Appointment Records Audit, Community Information Session Series, and Annual Records Maintenance Programme.

  • Contact data: Name, email address, phone number. Collected via our website contact form when you submit an enquiry.
  • Appointment data: Notes taken during audit or review visit appointments relating to the household's document holdings. This data is used solely to produce the written audit sheet and correspondence log.
  • Session data: Organisation name and contact details when arranging a community information session. No attendee personal data is collected during sessions.
  • Website usage data: Anonymised analytics data (pages visited, session duration) collected via cookies with your consent.

Legal basis: Contract performance (for service delivery), legitimate interests (for responding to enquiries), and consent (for analytics cookies and marketing communications).

3. How We Use Your Data

  • Responding to enquiries submitted through the website contact form
  • Scheduling and confirming appointments and session series
  • Producing written audit sheets, referral notes, correspondence logs, and handover packs
  • Sending service-related communications (appointment confirmations, review visit reminders)
  • Improving our website based on anonymised usage data

We do not sell personal data to third parties. We do not use personal data for profiling or automated decision-making.

4. Data Retention

Contact data submitted via the website form is retained for 12 months from the date of last contact, then deleted unless a service agreement has been entered.

Data collected during audit appointments and annual programme visits is retained for the duration of the programme plus 24 months, then securely deleted or destroyed.

Community session organiser contact data is retained for 12 months from the final session date.

5. Data Security

Personal data held in digital form is stored on password-protected devices with restricted access. Paper documents examined during audit appointments remain in the household's possession at all times — Anuvia does not retain physical copies of client documents.

Staff with access to personal data are limited to those required for service delivery. In the event of a data breach, we will notify affected individuals and the relevant authority within 72 hours of becoming aware of the breach where required by law.

Our website uses HTTPS encryption for all data transmitted through the contact form.

6. Cookies
